All attendees to Annual Conference this year will make their hotel reservations online. This change will allow participants to view more information and availability about each hotel in one place, eliminating the need for making multiple calls. This will save time and facilitate a smoother process. If you do not have easy access to the Internet or a computer, you are encouraged to contact your district office for assistance on how to make your online hotel reservation. Clergy and Laity sessions begin at 10 Thursday morning.

Display Space
Request for Display Space at Annual Conference is now available. Credit card payment will be required. Submitting a request does not guarantee you a space; you will be notified when your request has been approved. If you are planning a Banquet for this year's Annual Conference and would like to have your event listed in the Conference Banquet Schedule, please forward the following information to the Annual Conference Banquet Coordinator at michaelreaves@vaumc.org or mail it to 47 Round HIll School Rd, Fort Defiance, VA 24437.

Kits for Conference
The United Methodist Committee on Relief (UMCOR) is currently focusing efforts on Cleaning Kits (aka Flood Buckets), Hygiene Kits, and School KitsCleaning kits provide supplies to help individuals and families clean up after flooding, hurricanes, tornadoes and other natural disasters.  Hygiene kits replace basic necessity items lost in a disaster such as toothbrushes, hand towels, and soap to help people stay clean and healthy.  School kits include school supplies for children as they return to the classroom.  Click on the kit name to see PDFs for specific item listing and assembly instructions.  Collection of the kits is scheduled to start Wednesday, June 17, and continue through Friday, June 19, 2020.
If you prefer to make a financial contribution to enable UMCOR to purchase relief kits, you can contribute $75 for each cleaning kit; $12 for each health kit; and $11 for each school kit.  Additionally, UMCOR asks for $1 per kit ($3 for cleaning buckets) to cover processing and shipping and $1 for toothpaste for each health kit.  Please do NOT bring checks to Annual Conference.  All checks (for processing and shipping, for toothpaste, and in lieu of providing kits) should be made payable to “Virginia Conference UMC,” earmarked for “kits” and mailed to Treasurer, Virginia Conference of The United Methodist Church, P.O. Box 5605, Glen Allen, VA, 23058 any time prior to Annual Conference and no later than August 31.

Camping will NOT be available on the Berglund Center grounds.  The Roanoke District’s Camp Alta Mons offers camping.  Camping information is also available at the www.visitroanokeva.com/search/?q=camping&type=listings or by calling Visit Virginia’s Blue Ridge Visitor Information Center at 800-635-5535.

Tellers needed
There is a need for more tellers at annual conference. If you are willing to serve as a teller, please contact your district office.

Alternate Member Form
The Lay Annual Conference Members attending 2020 Annual Conference will receive a mailed packet of 2020 Annual Conference information. In the event of a change in lay member, the conference mailed packet should be given to the alternate lay member. Lay members who are attending as alternates are required to present a signed, completed Alternate Member Form 2020 to the Registration Trouble Shooting Desk during Registration. In turn, name badges will be printed that identify them as lay members. Alternates are responsible for obtaining materials mailed to the persons whom they are replacing. A Book of Reports may be purchased for $5 at annual conference by persons who do not have a copy.

Per Diem Voucher and EFT Payment Information Request
By conference action, retirees, persons receiving their first appointment, and eligible others listed in the Book of Reports are authorized to receive reimbursement for expenses to attend Annual Conference, not to exceed $340 and subject to limitations of conference approved rates. Vouchers can be obtained by clicking here (pdf). The conference treasurer’s office is encouraging all reimbursements to be made by direct deposit. Instructions are attached to the voucher to make provisions for direct deposit. Vouchers will not be accepted after July 31.
